Manage Your Calendar

Learn to use filters, navigation, and manual booking to manage requests, confirm appointments, and stay organized with ease.

Stay Organized and Keep Your Schedule Up to Date

Your Calendar is where you manage your appointments, availability, and booking requests. Keeping your Calendar up to date helps clients book with confidence and ensures your schedule accurately reflects when you're available.

From your Calendar, you can:

  • View appointments and their status

  • Manage booking requests

  • Add appointments

  • Block or open availability

  • Filter your schedule

  • Navigate between days, weeks, and months


Calendar Overview

At the top of your Calendar, you'll find several tools to help manage your schedule.

Filter

Choose which appointment statuses appear on your Calendar.

Today

Jump back to today's schedule.

Booking Requests

Review appointment requests waiting for your approval.

➕ Add

Create a new appointment, block time, or open availability.

💡 Tip: The Today View is especially useful when you've been planning ahead and want to quickly get back to managing today's clients.


Filter Your Calendar

Use Filter to control which appointment statuses appear on your Calendar.

Appointments are color-coded by status:

Status

Color

Description

Requested

Yellow

Waiting for your response.

Confirmed

Blue

Appointment is scheduled.

Completed

Green

Appointment has been completed.

Cancelled

Red

Appointment was cancelled.

No Show

Grey

Client did not attend the appointment.

To hide a status:

  1. Tap Filter.

  2. Deselect the status you'd like to hide.

Good to Know

Filtering only changes what you see. It doesn't update, cancel, or delete any appointments.


View Booking Requests

Booking Requests show appointments that require your attention before they're confirmed.

To review your requests:

  1. Open your Calendar.

  2. Tap Booking Requests.

  3. Review each request.

  4. Approve or decline as needed.

Checking your requests regularly helps provide a better booking experience for your clients.

💡 Tip: Make checking Booking Requests part of your routine at the beginning of your day and whenever you receive a new booking notification.


Add a New Appointment

If a client books with you outside theCut, you can still add the appointment to your Calendar.

  1. Tap the button.

  2. Select New Appointment.

  3. Enter the appointment details.

  4. Save the appointment.

The appointment will immediately appear on your Calendar.

Good to Know

When you create an appointment, your client receives a text message with a link to view their appointment.

If they don't already have a theCut account, they can create one and connect the appointment to their profile.


What Happens Next?

After you save the appointment, your client will receive a text message with a link to their appointment.

They can use this link to:

  • View their appointment details

  • Access their appointment from any device

  • Stay up to date on their upcoming visit

If Your Client Doesn't Have a theCut Account

If the client isn't already using theCut, they can use the appointment link to:

  • Create a theCut account

  • Add the appointment to their profile

  • Book future appointments with you more easily

This makes appointments booked outside the app another opportunity to introduce clients to theCut and encourage future bookings through your profile.

💡 Tip: Every appointment you add manually is another chance to convert an existing client into a connected theCut client.


Block a Timeframe

Need to make part of your schedule unavailable?

Tap the ➕ button and select Block.

You can use a blocked timeframe for things like:

  • Lunch or breaks

  • Personal appointments

  • School or another job

  • Family commitments

  • Time off

  • Any other time you don't want clients booking

Once the timeframe is blocked, clients won't be able to book you during that time.


Open Availability

Need to make additional time available?

  1. Tap the button.

  2. Select Open.

  3. Choose the timeframe you'd like to make available.

  4. Save your changes.

Clients will immediately be able to book during the newly opened time.


Navigate Your Calendar

Move through your schedule by selecting different dates.

You can also:

  • Jump back to today using Today

    • 2nd button from the left

  • Pull down on the week view to switch to a monthly calendar

  • Review upcoming appointments

    • 2nd button from the right

  • Plan future availability

The monthly view is especially helpful when planning vacations or reviewing your workload.

💡 Tip: Use your Calendar throughout the day, not just at the beginning. Keeping appointment statuses and availability accurate helps you stay organized and gives clients a more accurate picture of when they can book with you.


Best Practices

Keep your Calendar accurate by making these habits part of your routine:

  • Review Booking Requests throughout the day.

  • Add appointments booked outside theCut.

  • Block time as soon as you know you'll be unavailable.

  • Open additional availability when your schedule changes.

  • Keep appointment statuses current.

  • Use Filters to quickly focus on the appointments that matter most.

A well-maintained Calendar helps prevent scheduling conflicts and makes it easier for clients to book with confidence.
